FenceOS ("we," "our," or "us") is a business operations platform designed for fencing contractors. This Privacy Policy explains how we collect, use, disclose, and safeguard information when you use our platform. Please read this policy carefully. If you disagree with its terms, please discontinue use of the platform.
1. Who This Policy Applies To
This policy applies to:
- Subscribers — fencing contractors and their companies who create accounts on FenceOS.
- Staff Users — employees or crew members added to a subscriber's account.
- End Customers — homeowners or property owners whose information is entered into FenceOS by a subscriber in connection with a job or quote.
2. Information We Collect
Information You Provide Directly
- Account registration: Company name, your name, email address, phone number, and password when you sign up.
- Company profile: Business address, contractor license number, insurance certificate numbers, workers' compensation details, and billing information.
- Job and customer data: Customer names, addresses, phone numbers, email addresses, property information, photos, job notes, and payment records that you enter while using the platform.
- Permit data: Property parcel IDs, fence specifications, site plans, and documents you upload or generate using the PermitPilot feature.
- Communications: Messages you send through in-platform support or contact forms.
Information Collected Automatically
- Usage data: Pages viewed, features used, actions taken, timestamps, and session duration.
- Device and browser data: IP address, browser type, operating system, and device identifiers.
- Log data: Server logs including API requests, error events, and authentication activity.
Information from Third Parties
- Payment processors: When you process payments, our payment processor (Stripe or interchange-plus provider) returns transaction confirmations and last-four-digit card identifiers. We do not store full card numbers.
- Mapping and satellite imagery: Address lookups and property imagery may be sourced from third-party mapping services.
- 811 / Sunshine811: Utility locate request status returned from Sunshine811 in connection with job sites you look up.
3. How We Use Your Information
- To provide, operate, and maintain the FenceOS platform and its features.
- To process transactions and send related billing communications.
- To generate permit applications, invoices, quotes, and other documents on your behalf.
- To send operational emails such as password resets, permit status alerts, and payment confirmations.
- To enforce our Terms of Service and applicable legal obligations.
- To detect, investigate, and prevent fraudulent or unauthorized activity.
- To improve and develop new features based on aggregate, anonymized usage patterns.
We do not sell your data or your customers' data to any third party. We do not use your customer data for advertising purposes.
4. How We Share Your Information
We share information only in the following limited circumstances:
- Service providers: We use vetted third-party vendors to host our infrastructure (cloud servers, database), send transactional emails (SMTP provider), and process payments. These vendors act as data processors under confidentiality agreements and may only use your data to perform services for us.
- Government portals: When you use the PermitPilot automated submission feature, permit application data is submitted directly to the applicable municipality's online portal on your behalf, using credentials you provide.
- Legal requirements: We may disclose information if required by law, subpoena, court order, or to protect the rights, property, or safety of FenceOS, our users, or the public.
- Business transfers: If FenceOS is acquired or merges with another company, your information may be transferred as part of that transaction. You will be notified via email and/or prominent notice on the platform prior to such a transfer.
5. Data Retention
We retain your account data for as long as your subscription is active. If you cancel or your account is terminated, we retain your data for a period of 90 days to allow for account recovery, after which it is permanently deleted from our systems unless we are required by law to retain it longer.
Backup copies may persist for up to 30 additional days after deletion from the primary database.
6. Data Security
We implement industry-standard technical and organizational measures to protect your data, including:
- Encryption of data in transit using TLS/HTTPS.
- Passwords stored using bcrypt hashing — we never store plaintext passwords.
- JWT-based session tokens with configurable expiration.
- Role-based access controls limiting data access to authorized users within your organization.
- Regular dependency audits and security patching.
No method of electronic storage or transmission is 100% secure. While we use commercially reasonable means to protect your data, we cannot guarantee absolute security.
7. Your Rights and Choices
Account Data
You may access and update your company profile and user information at any time through the Settings section of the platform.
Data Export
You may request an export of your account data by contacting us at the address below. We will fulfill export requests within 30 days.
Account Deletion
You may request deletion of your account and associated data by contacting us. We will process deletion requests within 30 days, subject to any legal retention obligations.
Marketing Communications
We do not send marketing emails. All emails from FenceOS are transactional (password resets, permit alerts, billing receipts). You cannot opt out of transactional emails while maintaining an active account.
8. Cookies and Tracking
FenceOS uses only technically necessary local storage (specifically localStorage) to maintain your authenticated session. We do not use third-party tracking cookies, advertising pixels, or analytics trackers.
9. Children's Privacy
FenceOS is intended for use by business professionals and is not directed to individuals under 18 years of age. We do not knowingly collect personal information from minors. If we learn that we have collected personal information from a minor, we will delete it promptly.
10. Third-Party Links and Integrations
The platform may contain links to third-party websites (such as municipality permit portals, Stripe, or mapping services). We are not responsible for the privacy practices of those third parties. We encourage you to review their privacy policies before providing them with any information.
11. Changes to This Policy
We may update this Privacy Policy from time to time. When we make material changes, we will update the "Last Updated" date at the top and notify active subscribers via email or in-platform notice at least 14 days before the changes take effect. Continued use of the platform after the effective date constitutes acceptance of the updated policy.
